Deposits by Uploading a File
To upload a file your bank will assign you a customer number (or an Originator ID)
and a data centre number.
Enter those into Donarius®, like this:
1. Click the Donors icon and choose Add/Edit Donors....
2. Click on the More Info ==> button.
3. Near the bottom right, in the P.A.D. name box, delete everything before the left parenthesis.
4. In its place, type an abbreviated bank name, a space, the customer number, a dash then the data centre number.
Use the following abbreviated bank names:
Scotia for Scotiabank
TD for Toronto-Dominion
RBC for Royal Bank
BMO for Bank of Montreal
CIBC for Canadian Imperial Bank of Commerce
KCU for Kindred Credit Union
e.g. suppose the customer number is 1234567 and the data centre number is 220, you would type:
Scotia 1234567-220 (P.A.D.)
or if Originator ID is TF777333 and the data centre number is 420, you would type:
TD TF777333-420 (P.A.D.)
5. Click the Save button.
When you upload a file, the bank expects a bank account number for chargeback amounts.
Enter it like this:
1. Click the Church or Organization icon.
2. Double-click a donation category.
3. Where it says Used with bank account, enter the abbreviated bank name followed by the bank#, transit# and account#.
e.g. you might type: RBC 3-8043-123456789
3 is the bank#, 8043 is the transit# and 123456789 is the account#.
(The bank# is 1-3 digits, the transit# is 1-5 digits and the account# is 1-12 digits.)
4. Click OK.
5. Click Save.
For all donors using pre-authorized you need to enter their bank account information. To keep this confidential,
it will be encrypted with a secret key, that you will need to type each time you need to encrypt or decrypt the bank info.
Enter the bank info, like this:
1. Click the Donors icon and choose Add/Edit Donors....
2. Click on the More Info ==> or the Show Info ==> button.
3. Find a donor who uses P.A.D.
4. Near the bottom right type the name of the donor's bank and their bank#, transit# and account#.
(The bank# is 1-3 digits, the transit# is 1-5 digits and the account# is 1-12 digits.)
5. Repeat steps 3-4 for all other donors.
6. The first time you enter the bank information, you'll be asked to choose a secret key.
Pick one that is 9-20 characters without blanks or any of the characters: {}%()\=
Note: if you lose or forget this key, the bank info will be impossible to decrypt and you'll need
to re-enter each donor's info. So keep track of the secret key but in a safe place.
7. Click Save.
8. If you need to edit the bank info, first click on the heading to display it. Then make any needed changes and click Save.
Type the secret key if asked for it.
9. Just like regular recurring donations, you need to select how often they donate. (e.g. monthly, weekly, bi-weekly, etc.)
10. You also need to manually enter each donor's first P.A.D. donation.
You can also add bill payments and upload the amounts to be deducted from your organization's account.
Follow these steps:
1. Create an expense category by putting an E: in front of the category name. e.g. E:Heating, E:Telephone or E:Utilities
2. Create a donor for each company you will pay to. Also enter their bank info as explained above.
3. Manually enter the amounts of each bill on date you want them to be paid.
Type the amount owing in the expense category. Because the amount is entered in an E: category,
the software knows it is money to be paid. Put a checkmark on the P.A.D. payment method.
4. When you create the P.A.D. file as explained below, the bill payments will be created as credits.
Each time you start Donarius® you'll be given the option of creating a P.A.D. file to upload.
You can create post-dated transactions up to about a month into the future.
Follow these steps:
1. Enter a date range of transactions of P.A.D. donations to be entered and uploaded.
Enter a date range that is different from the previous file you uploaded, so that you don't upload the same donation twice.
One way to do this is to create the file on the first of the month, with a range from the first to the last day of that month.
To enter donations for only one donor, search for the donor in the Donor# box.
To skip uploading, close the window or click Skip.
2. Click the Find button to find the next set of P.A.D.s.
3. Click Add to enter the donations for each set.
4. When all donations have been entered, click the Create Upload button.
To create a test file, put a checkmark on [ ] Create test file.
Pick a location and the name of the file.
5. Upload the file you created to your bank.
6. Files that are deleted can sometimes be recovered from your computer. So to keep the donor bank info secure
the file should be securely erased. After uploading the file, come back to the Donarius window and click
Erase File to securely erase it.
Note: Since the file to upload to the bank is not encrypted, it is possible that a virus could change the contents of the file so that
money will deposited to a different account instead of your organization's account. In order to prevent this, Donarius
will be monitoring the upload file for any changes between steps #4 and #6 above. If it is changed, you'll be warned
and the file will be securely erased. Then run a virus scan on your computer.
